How much does business process automation cost?
One European vendor, Kubera AI, prices the build between EUR 800 and EUR 25,000 across the first four of its five tiers, depending on complexity (the fifth, a full system, starts at EUR 25,000), plus between EUR 30 and EUR 1,500 a month for platforms and AI model usage; prices checked on 24 September 2026. ErgoStrat does not publish its own price on the service page. This article gives that cost range and what moves the number up or down; it is not an offer of ours.
What are the automation cost ranges in euros at one European vendor?
Kubera AI is a vendor that publishes its prices in euros specifically for small businesses in Europe. It splits a project into tiers, each with a one-off build price and a monthly cost afterwards, checked on 24 September 2026. A single workflow, such as an appointment reminder or a form-to-CRM handoff: EUR 800 to 2,500 to build, EUR 30 to 120 a month. A multi-step workflow, such as lead qualification with a CRM update: EUR 2,500 to 6,000 to build, EUR 100 to 350 a month. A stack of several processes for a whole department: EUR 6,000 to 15,000 to build, EUR 300 to 800 a month. An AI agent system, such as round-the-clock lead qualification on its own: EUR 10,000 to 25,000 to build, EUR 500 to 1,500 a month.
The cost range is deliberately wide: an automation with two tools and no exceptions sits near the bottom, while an AI agent system with many exceptions and a link to legacy software sits near the top.
What drives the price up?
Two independent analyses of automation cost name the same driving factors: the number of connected tools, where each additional one adds design and testing time; the complexity of the logic, where every conditional branch and data transformation takes more work. Then comes the quality of the data, where clean data keeps the price low and messy data needs cleaning before the build even starts. The last is a link to legacy software with no documented API (Aimec). According to Aimec, in a multi-system project integration takes 20 to 40% of the total cost. Annual maintenance runs at 15 to 25% of the build price. Kubera AI gives the same share.
What is the monthly cost beyond the build?
Besides the one-off price, every automation carries an ongoing monthly cost: a subscription for the tool that runs it, and a little infrastructure if it is self-hosted. Kubera AI prices the infrastructure at EUR 50 to 500 a month depending on the architecture, separate from the monthly cost by tier. It adds a separate line for EU businesses for GDPR compliance, between EUR 500 and 2,000 for the data-processing documents and retention policies.
When does the investment pay back?
According to Kubera AI, a well-scoped project pays back in 2 to 5 months. An automation for a business tied to booked hours, such as appointment scheduling, often pays back in 2 to 6 weeks. The same vendor expects a first-year return of 200 to 500% from such a project. Instead of a number before a contract, every project starts with a week of measurement that produces the Hours Log, before the build price is even discussed.
Questions
Why do the prices vary so much between sources?
Because they ask a different question. A European vendor like Kubera AI gives a price by project type, in euros. Other analyses give a price on the same principle, but in a different currency. They have a wider range at the top, up to whole programmes for a large organisation. Both kinds are true for the market they describe, but they are not directly comparable to each other.
Is it cheaper to use a ready-made tool instead of commissioning a build from an agency?
A tool subscription, for n8n, Make or Zapier for example, is separate from the build price. The monthly subscription pays for the platform. The build price is for the time it takes to design, build and test the specific process on top of it.
Are there hidden costs these ranges do not include?
Yes. A commonly missed cost is cleaning the data before the build itself. The second is annual maintenance, at 15 to 25% of the original price, for adapting the automation when a tool or a process changes.

The number for your process comes from measuring, not from a range.
The ranges above are one European vendor's, not ours. Every project starts with a week of measuring the specific process, before the build price is discussed.
